6. Office Copier Features

AddThis Social Bookmark Button
There are two main types of copiers: analog and digital. An analog machine uses older technology and usually cannot be linked to an in-office network as easily as a digital machine. For this reason, digital is becoming an increasingly popular choice. While the needs of your business will ultimately determine the type of machine you purchase, a digital model will last longer, be easier to upgrade, and will probably have more features for less initial cost.

Here are a few other options you should consider when shopping for a machine:

All in One Devices

An all in one printer fax scanner copier is the most popular choice for businesses with different document needs. A multi-function device can help your office shift to storing documents electronically, and can link between office computers and modems to send and receive faxes, upload scans of documents, and send documents from computers to the printer.

Buying such a machine will save money on consumables like ink, toner, and developer, and will also save money in the long run if the machine is used to store documents in electronically. Eliminating paper document storage not only saves time, money, and paper, it’s a great way to “go green” and do your part for the environment. Purchasing strategically is a good idea for any business, and buying a printer copier that can be used far into the future is the best way to save money now and in the future.

Memory and Storage

A copier that can store document information for printing or copying will need a certain amount of memory capacity. Copier memory is just like any other electronic memory- it can be installed in the device, or upgraded later. The amount of memory you’ll need will depend mostly on the length and quality of your documents (in pages and image quality) and the format you store in. Volume also plays a role here. Before you talk to a vendor, try to get a good idea of how you’ll be using scanning or storage functions. The more information you have, the better.

Other Features

Most copiers also offer additional features. Here are a few popular choices:

  • Photo Printing
  • Sorting (for reports, multiple copies of a document)
  • Booklets or stapled reports
  • Document edits (converting 1-sided pages into 2-sided copies)
  • Energy Saving or “Sleep” features

Before you buy, consider which features you’ll use on a regular basis, and which you’ll use only occasionally. It’s smarter to buy a machine for everyday use and then outsource other jobs that can add substantially to the cost of a machine. For example, photo printing or high-resolution image capabilities will add thousands of dollars to the cost of a machine, where hiring a professional printer for one or two jobs might cost half that.
