Received a large order from the Ivory Coast-Need Help!

I received a very large wholesale order from the Ivory Coast. I am not sure of how to proceed with this. I sent an email asking for full name, address, phone number of business. Said first orders are COD. I figured we would get a diaglogue going and I could take it from there. The reply was I am paying with my company credit card. So I am now thinking I need to get payment up front, is this advisable? How would you proceed?

Congratulations Colleen!  Yes, i think that`s customary for first time orders until you develop a relationship, or agreement on terms. Email them an invoice and ask for their credit card information.  Good luck!

Hi Colleen,
 
I`m sorry, I have no idea where the Ivory Coast is.  Do you?  I just googled it and didn`t find much about it immediately except... I guess it`s in a foreign country.  If that is true, you should be very careful.  Having a foreign credit card guaranteed is not always easy.

Be careful with that order... many fraudulent Internet orders originate from that region. Oftentimes, the credit card numbers are stolen. Contact your merchant account provider and they should give you a phone number you can call to see where the credit card originated from.
 
If you find that the credit card originates out of Kansas City, Missouri, and the order is coming from Ivory Coast, then you know what`s up.
 
It`s an inconvenience, but it`ll save you a few grand... the last thing you want to do is ship out hundreds of dollars worth of merchandise, only to get a chargeback from the actual credit card company... and there is absolutely nothing you can do about it if this is the case, so just check it out, the merchant acct folks should point you in the right direction.

Colleen, you are probably already doing this, but, first, follow the rules above. You can also wait a couple of days before shipping and make sure you get your money from the credit card. We have never had to wait more than a couple of days, it usually clears pretty quickly.
 
Also, are you making sure that you have their tax ID number and a copy of their business license on file. You will need these for tax purposes and to prove that you sold wholesale to a valid registered business. . .

Oops, hit reply to quickly, I think, in most cases, it is customary for payment up front for first time purchases. It is strange, but, most of my clients just assumed they would need to pay for their orders at the time of their purchase. When we were first starting out, this was great. I had a few that I had to tell that it was ok to place their order and pay within 30 days. Depending on the business and my gut instinct, we now have some accounts that we open with credit right up front. We have been fortunate, we have not had a problem with any invoices to date.

Hi all,

Just my thoughts on the matter.  I`ve run several small businesses.  I never extended credit to a first time buyer.  First  time buyers were required to pay up front with cash, credit card or cashiers check for their order.  This allowed me time to run a background check on their credit history and get their banking information.  Several times, background checks revealed the new customer had lengthy credit problems or was a bogus company.

To Cartess, Pam and Nevadascul and of course Janie:

Thank you all for your responses, this is extremely helpful. I have taken certain steps in establishing the validity of this order and so far they have come through with everything I have asked for such as Pam`s suggestion about Tax ID and business license. I am following up on Cartess` response and Nevadascul`s suggestion. My main concern is to still consider this valid until I have proven otherwise.

Glad to hear that Colleen.  It`s all good,... if you get paid! :) And I hope more than anything it all works out for you.  Melanoma....are you `there` in the search engines? Can people find your  preventive clothing that way? 
 
I hope everything works out great for you.  I think you have come up with a unique product that could benifit many.
