Please share with me your personal experiences with CRM software, and whether the one you used functioned well for your business, or if it wasn't useful.

I am starting a web design and marketing company and I believe I need CRM software to help me with sales, marketing, and project management.

Usability and logical workflow are paramount to me, so I want to know which ones are the ones with which people have personally had great experiences. I know that some CRM software don't have the best usability or workflow paths, so I would appreciate it if people could share with me which ones did NOT work well, too.

Here are my requirements:

The initial cost needs to be low, preferably free. I'm bootstrapping my business initially and I have almost no expenses. I want to keep it that way and re-invest my profits back into the company.

I want a system that will grow with me, rather than needing to exporting my customers to a new system if my business is an overwhelming success.

If necessary, I can make do with only two users, but I would prefer it if I could increase that to a dozen or more. I have partnered with a software company for projects, so that if their customers need design work, I can provide it, and vice versa, so their developers may need access to my system. It would be more convenient and secure if I could grant each one their own username.

I intend on pursuing 200-500 leads at the start. I need a system that will support that.

Ideally, I would like a system that would automate my marketing/sales/project management. Something like this:

1. email introduction to prospects/leads

2. intro/appointment calls

3. tracking appointments

4. follow up emails/phone calls/appointments a few days later

5. follow ups every other month for inactive customers or "no sale" leads

6. inclusion in promotional gift campaigns, newsletter campaigns, mailings, or marketing campaigns for other products I offer

Conversion to cold leads/inactive leads for long time "no sale" leads

Conversion to active customer, then:

1. project tracking

2. problem/complaint tracking

I hope this explanation was clear and understandable. I truly appreciate your help!

I will recommend you to look for a solution that is available as a hosted solution and can also be installed on your own server, either inside or outside the firewall. As you have the concern for data security and privacy. Infact you can go for Hybrid CRM Software I have found CRM Domain a great place to start. They have great product to get you started without spending a fortune. The customization is drag and drop and there is an army of people ready to help you with it.

Generally, 10 best CRM for Small Business are,

1. InfusionSoft
2. SalesNexus
3. CapsuleCRM
4. InTouch CRM.
5. WORKetc.
6. PlaybookIQ.
7. Prophet CRM.
8.CenterBase.
9.Oprius Foundation.
10. EssentialCRM.

I used vTiger some time ago. If you are working in a Microsoft environment - do use Microsoft Dynamics, it´s the best choice in my opinion.I used real hound for a while. it is crazy detailed and can be overwhelming at the beginning.
